How we handle personal data, and the rights you have over it.

This policy explains how Mackins Security Ltd ("we", "us") collects and uses personal data when you use this website or enquire about our services. We are the data controller for that information.

1. What we collect

We only collect what we need in order to respond to you and to provide our services:

  • Enquiry details — the name, phone number, email address, company, site location and message you submit through our enquiry form or send us by email.
  • Recruitment details — where you apply to work with us, the CV and supporting information you send, including SIA licence details.
  • Technical data — your IP address and basic request information, recorded by our web server in its standard logs.

We do not use advertising or third-party tracking cookies on this website.

2. Why we use it, and our lawful basis

  • To respond to your enquiry and provide a quotation — on the basis of your consent, and of steps taken at your request prior to entering a contract.
  • To deliver a security contract — on the basis of performance of that contract.
  • To consider a job application — on the basis of steps taken at your request prior to employment, and our legitimate interest in recruiting suitable staff.
  • To keep our website secure and available — on the basis of our legitimate interest in protecting our systems.
  • To meet legal and regulatory obligations — including those attached to licensed security work.

3. Who we share it with

We do not sell personal data, and we do not share it for marketing purposes. We may share it with:

  • Our web hosting and email providers, who process it on our instructions
  • Professional advisers such as accountants and legal advisers, where necessary
  • Law enforcement or regulators where we are legally required to do so

4. How long we keep it

  • Enquiries that do not become contracts: up to 24 months, then deleted.
  • Client records: for the duration of the contract and for six years afterwards, to meet legal and insurance requirements.
  • Unsuccessful job applications: up to 12 months, unless you ask us to remove them sooner.
  • Server logs: a short rolling period for security and diagnostics.

5. CCTV and operational data

Where we install or monitor CCTV on a client site, the client is normally the data controller for that footage and is responsible for signage, retention periods and subject access requests. We act as processor under written instructions. If you have a query about footage recorded at a specific site, contact the occupier of that site in the first instance.

6. Your rights

Under UK data protection law you have the right to request access to your personal data, to have inaccurate data corrected, to have data erased in certain circumstances, to restrict or object to processing, and to data portability where it applies. Where processing is based on consent, you can withdraw that consent at any time.

7. Complaints

If you are unhappy with how we have handled your data, please contact us first so we can put it right. You also have the right to complain to the Information Commissioner's Office at ico.org.uk.

8. Security

This website is served over HTTPS and enquiry data is transmitted to our email system rather than stored in a public-facing database. Access to enquiry and personnel records is limited to staff who need it.
